    What You Will Be Doing

    Provide superior customer service to all guests and employees.  Partner with Office Services, Facilities and Security Departments on safety and security awareness.

     

    General Responsibilities

                   

    General Office

    • Sort mail and notify individuals that mail is awaiting them to pick up at front desk.
    • Scan or forward mail to individuals that are not based locally.
    • Scan office services invoices to OS/F Manager for approval to pay.
    • Print or email UPS shipping labels as requested, per guidelines.
    • Maintain inventory of basic UPS shipping supplies.
    • Unlock front door for mail carriers, guests, visitors, and staff.
    • Ensure only appointed personnel and visitors are parked in reserved and visitor parking.
    • Reserve conference rooms and demo lobby for meetings requested by staff from various offices. Assist meeting schedule when conflicting schedules occur.  Supply reserved rooms with requested items when necessary.  Notify necessary personnel of event, including maintenance and janitorial teams.
    • Print/Laminate Signs as needed for events, or specific uses.
    • Inform OS/F Manager parking violation with vehicle tag number and/or picture of vehicle

    Safety and security

     

    • Ask for driver’s license as identification from visitors/maintenance.
    • Have guests sign, provide id tag and offer them to have a seat
    • Follow up with individual guest is visiting with a phone call to ensure they are aware they have a guest waiting
    • Obtain authorization for guest/vendor to be provided with a temporary access fob and complete acknowledgement form.
    • Ensure that temporary access fob is returned at the end of the visit.
    • Process replacement badges by following guidelines and utilizing an ID application and printer.
    • Process subcontractor ID badges when requested from authorized staff only.
    • Maintain a separate inventory of materials specifically for ID printer, badge, and key card supplies.
    • D. Supply request to OS/F Manager, in a timely manner, so that there is always inventory.
    • Be aware of and inform Security & OS/F Manager of any security issues immediately.
    • Respond to any alarms or suspicious activity that should arise and contact appropriate authorities or fire department
    • Beginning and end of shift will be making rounds along the property to ensure safety and security of premises
    • Monitor surveillance cameras for any suspicious activity on premise

    Employee/Customer Relations

     

    • Welcome staff, clients, vendors, candidates, guests, and visitors promptly and courteously.
    • Inform visitors (vendors, candidates, or guests) on wait time, offer a beverage (water/coffee), and to show them to their nearest restroom.
    • Inform Hotwire personnel their visitor has arrived.
    • Make sure all visitors/vendors are escorted through the office by Hotwire personnel
    • Assist former customers returning equipment with completing a return form and provide explanation in processing time and follow up steps to take. Provide a receipt for returned equipment and give equipment to warehouse personnel
    • Provide special assistance as needed to specific personnel such as the President of Hotwire, Executive Vice President of Hotwire, Chief of Staff, Executive Assistant to the President of Hotwire, etc.
    • Remind staff members of upcoming company events.
    • Assist, as needed, in partnering with regard to company events.
    • Be an informed resource of all things Hotwire so that employees can ask for direction and updates at any moment.
    • Process emails and requests from employees for, ID badge replacement, maintenance requests, shipping labels, and general inquiries daily from multiple offices including Naples, Georgia and several satellite offices.

    New Hires/Employee property

    • Take photos of new hires, create their ID Badges and follow process to provide to HR/Security
    • Assemble the new hire ID Badges along with the Key Fobs provided by security.

    What You Need to Bring

    • High school diploma and/or equivalent work experience in a corporate professional environment required.
    • Excellent customer service skills
    • Professional and friendly presentation and demeanor
    • Must be proficient in word, excel, and outlook
    • Must have a valid driver’s license
    • Ability to lift up to 20 lbs
